Hi, I’m James from Northgate Supply’s purchasing team. Here’s how to handle your first purchase order, from confirming the details to delivering the goods and submitting your invoice.
First, check the order number, product codes, quantities, units of measure, prices, and delivery date. Confirm by email within two business days. If anything cannot be fulfilled, propose an alternative and wait for a revised purchase order before shipping.
Once confirmed, pack each product code separately and label every carton with the order number, product code, quantity, and carton number. Include a packing list, then email our warehouse at least two business days before delivery to book a receiving slot. Provide the order number, carton count, and carrier, and bring your booking confirmation and packing list.
After delivery, check the signed receiving record before invoicing. If only 96 of 100 items were accepted, invoice for 96 and confirm what happens to the remaining four. Include the order number, product codes, accepted quantities, prices, and invoice number. Email your invoice and receiving record to the accounts payable address on your order.
Finally, make sure your order, delivery record, and invoice match. Thank you for partnering with Northgate Supply, and we look forward to your first delivery!
