Hello team, and welcome to The Regency Plaza Hotel. I'm David Carter, Operations Manager. Today, we'll review our Overbooking Handling Procedure and the key steps for resolving overbooking situations professionally.
Before taking any action, always confirm the overbooking status. Review the latest room inventory, arrivals, cancellations, no-shows, and system updates to make sure all room statuses are accurate. Confirming the situation first helps prevent unnecessary guest disruption.
Once the overbooking is confirmed, identify and prioritize affected guests. Consider VIP status, loyalty membership, group bookings, guaranteed reservations, special requests, and arrival order. Following these criteria ensures a fair and consistent approach.
If relocation is necessary, arrange an equivalent or upgraded room at an approved partner hotel. Provide transportation if needed, explain the situation clearly and empathetically, and follow hotel policy when offering service recovery, such as room upgrades, refunds, complimentary services, or loyalty points.
Remember, effective overbooking management relies on accuracy, clear communication, and professionalism. By following these steps, we can protect the guest experience and uphold the service standards of The Regency Plaza Hotel.
